Pricing
What a remote seat costs, published.
Every rate we charge is on this page. Your quote depends on the role, the hours and the coverage window, you get it in writing before anyone starts, and it does not move afterwards. There is no setup fee and no recruiting fee at any point.
Work out the cost
Pick a seat and the hours you would actually use. It runs on the published ranges below, and the in-house comparison is scaled to the same hours, so a twenty hour seat is compared against a twenty hour employee.
Defaults change with the role. Change them to match what you actually need.
Rate ranges
These ranges reflect what the United States virtual healthcare staffing market is charging in 2026, checked against published vendor pricing, Bureau of Labor Statistics wage data and job-posting pay data for remote roles. Remote clinical rates are derived from remote nursing pay data and standard staffing markups rather than a published rate card, because that market quotes privately. Your quote is confirmed in writing before anyone starts and holds for the term agreed.
What the rate includes
Recruiting, training and cover
We find them, we train them, and when they are ill or on holiday we cover the seat. You are not managing a hiring process, a probation or a resignation.
Employment, tax and insurance
The person is employed by us. Payroll, taxes, benefits and insurance are ours to carry. You are invoiced for hours worked and nothing else.
HIPAA training and a signed BAA
Everyone is HIPAA trained before they touch a system, and we sign a Business Associate Agreement with you as standard, before access is granted rather than after.
A secure working environment
Unique named logins inside your systems, multi-factor authentication, no shared accounts, no patient data copied to a personal device, and an audit trail you own.
One account manager
A named person who knows your software, your payers and your protocols, reachable in your business hours. Not a rotating ticket queue.
Replacement at no extra fee
If the person is not right, we replace them and cover the seat while we do it. There is no charge for the replacement and no charge for the handover.
Against hiring in house
A salary is not the cost of an employee. This is what one front office seat actually costs a United States practice over a year, before anyone has answered a phone.
| Line | Cost per year | Notes |
|---|---|---|
| Base salary | $45,930 | BLS median, medical secretaries and administrative assistants, May 2025 |
| Payroll taxes | $4,930 | FICA, FUTA and state unemployment |
| Health, dental and vision | $6,500–$12,900 | Single to family cover |
| Retirement match | $1,380–$1,840 | At a three to four percent match |
| Paid time off and sick leave | $2,650–$3,530 | Fifteen to twenty days |
| Workers’ compensation | $690–$1,150 | Varies by state and class code |
| Workspace, equipment and software | $2,000–$4,000 | Desk, hardware, licence seats |
| Recruiting the seat | $2,740–$5,475 | SHRM 2025 benchmark, amortised over average tenure at the low end |
| Fully loaded | $66,800–$79,800 | Roughly $32 to $38 an hour |
| The same seat with us | $24,960–$33,280 | Forty hours a week, all year, at $12 to $16 |
Sources: Bureau of Labor Statistics, Employer Costs for Employee Compensation, March 2026, which puts private industry benefits at 30.1 per cent of total compensation, a 1.43 multiplier on wages covering taxes and benefits only. Median pay from the BLS Occupational Outlook Handbook, May 2025. Cost per hire from the SHRM 2025 benchmarking report, $5,475 for a non-executive role, shown here amortised over an eighteen month average tenure at the low end and taken whole at the high end. The multiplier excludes recruiting, workspace, equipment, supervision and the cost of the seat sitting empty, which is why those are listed separately rather than folded in.
Questions about cost
What does a remote seat actually cost?
One hourly rate for hours worked. It covers the person, their employment, their training, their supervision and the secure environment they work in. There is no setup charge, no recruiting fee, no platform charge and no invoice for hours nobody worked.
The ranges are on this page. Your rate depends on the role, the hours, the coverage window and whether the work needs a United States licence. You get it in writing before anyone starts and it holds for the term agreed.
Why would I not just hire someone myself?
Often you should, and we will say so. A full-time, permanent, easy-to-recruit seat is usually cheaper filled directly over a year.
What a salary hides is the rest of it. Benefits run at about thirty per cent of total compensation across United States private employers, a 1.43 multiplier on wages before you count recruiting, equipment, software seats or the weeks the seat sits empty. A front office hire on the $45,930 median costs $66,800 to $79,800 a year all in. We are worth using where recruiting is the problem, where the hours are less than a full seat, where you need cover this month rather than next quarter, or where you would rather not carry the employment risk at all.
Are there setup, recruiting or hidden fees?
No. Nothing to open an account, nothing to brief a role, nothing to interview candidates, nothing to replace someone who is not right. Four things change the rate and all four are published on this page: part-time hours, coverage outside United States business hours, a second language, and hiring our person directly after six months.
Is there a minimum commitment?
Month to month, thirty days’ notice, from twenty hours a week. There is no annual contract, and we will not ask you for one. Below thirty hours a week the rate carries a fifteen per cent premium, because a part-time seat genuinely costs more per hour to run than a full one.
Where are your people based, and is that allowed?
Admin, revenue cycle and scribing work is delivered by our own employed team, working United States hours inside your systems. HIPAA does not prohibit that, and the controls it does require, a signed BAA before access, named logins, multi-factor authentication, encryption, training and audit logs, are on this page.
Two things are worth saying plainly. A handful of states, including Texas and Wisconsin, restrict health data being handled outside the United States, and Medicare Advantage plans impose extra attestation duties. Tell us your state and your payer mix on the first call and we will tell you what we can and cannot do before you spend time on it. Anything requiring a nursing licence is filled by a nurse licensed in your state or through the compact, working in the United States. There is no offshore version of that and anyone offering you one is describing something else.
How do you know the coding is any good?
Because it is audited rather than assumed. Certified coders are priced above the rest of the revenue cycle group for that reason, and monthly audit results go to you, not just to us. The published research on offshore coding is honest about the risk: lower productivity per hour and more denials unless quality is actively managed. Managing it is the job, and it is in the rate.
Get it in writing.
Tell us the seat and the hours and we will put a rate in front of you, before anyone is interviewed and before you commit to anything.
