For practices
Tell us the hours, the software and the work.
You interview people who already work in healthcare and are already trained, at a rate agreed in writing before anyone starts. They work your hours inside your systems, under your logins and your audit trail. You pay for hours worked and nothing else.
This is what you get.
You interview before anyone starts.
We shortlist two, you speak to both, you pick. Nobody is allocated to you and nobody starts on your systems until you have said yes.
The rate is agreed in writing first.
You see the rate before you see a candidate, and it holds for the term agreed. Every adjustment that exists is published on the pricing page.
They are HIPAA trained, and the BAA is signed before access.
Training is completed before anyone touches a system, and a Business Associate Agreement is signed before access is granted rather than after the first week.
They use named logins, and the audit trail is yours.
They work inside your software under their own account with multi-factor authentication. There are no shared logins, no patient data is copied to a personal device, and every action is attributable to a person.
We cover holiday, sickness and turnover.
The seat is our problem to keep filled. If someone is not right we replace them at no additional fee and cover the gap while we do.
You pay for hours worked.
There is no setup charge, no recruiting fee, no platform charge, and no invoice in the weeks the work is not there. It is month to month, on thirty days’ notice.
This is how it works.
We scope the seat.
One call fixes the hours, the software, the tasks and the coverage window. You get a written rate and a realistic start date at the end of it, not a proposal a week later.
You meet two and pick one.
We shortlist from people already trained and already working in healthcare. You interview them yourself. We set up secure access to your systems before the first day, not during it.
You go live and stay covered.
They work your hours in your software, under your logins and your audit trail. An account manager reviews the work, and holiday, sickness and turnover cover is ours to arrange rather than yours.
These are the questions we are asked.
How quickly can someone start?
For admin, revenue cycle and scribing roles we can usually put two people in front of you within two working days, and have someone working inside a week to ten days once your access is set up. The delay is almost never finding the person. It is granting the access, signing the BAA and agreeing the protocols, and rushing that part is how practices get into trouble.
What if the person is not right?
We replace them at no additional fee and cover the seat while we do it. There is no charge for the replacement, no charge for the handover, and no argument about it. If the fit is wrong twice we would rather refund the difference and tell you we are not the right supplier.
How is patient data protected?
A Business Associate Agreement is signed before any access is granted, and it covers permitted uses, safeguards, incident reporting, what happens to data when we stop working together, and any subcontractor we use. Everyone works under a unique named login inside your systems with multi-factor authentication, never a shared account. Patient data stays in your systems: we do not copy it into ours, and staff cannot download or remove it. Training is role-appropriate and completion is tracked, and access is reviewed when someone joins or leaves your account.
Are there states where this does not work?
There possibly are, and we would rather raise it than let you find out later. A small number of states restrict health data being handled outside the United States, Texas and Wisconsin among them, and Florida requires offsite records be held in the continental United States. Medicare Advantage plans impose additional attestation duties on offshore vendors.
Tell us your state and your payer mix on the first call. If your position needs a United States based person, say so and we will price that instead rather than talk you into something you cannot defend at audit.
Do you place clinical staff?
No, and we would rather be clear about it than stretch. Everything we place is administrative or documentation work: the phones, the diary, the intake, the payers, the claims and the notes. It supports clinicians and it does not exercise clinical judgment.
That boundary is deliberate. Triage, telehealth and case management require a nurse licensed in the patient’s state, which is a different business with a different cost base. If a supplier offers you an offshore triage nurse, they are describing an unlicensed coordinator, and you should ask exactly what that person is allowed to decide.
What about AI scribes and automation?
Use them where they work. Ambient AI documentation is genuinely good at a straightforward single-clinician visit and it is cheaper than a person. It is weaker on multi-speaker visits, complex specialties and anything where the note is only half the job.
Most of our scribes also handle orders, referrals, results and the inbox in the same hour, which is the part no tool does yet. If a tool covers your case, we will tell you that.
Tell us what the seat has to cover.
One call is usually enough to scope it, agree a rate and get two people in front of you. If we are not the right answer, we will say so on that call rather than three weeks later.

Send the hours, the software and what the seat has to get done. You will get a written rate back.
